Go to corporate email without stopping at the company

The change is planned: it is agreed in writing which mailboxes are passed and when, the history of each person is copied and the change of mail destination is made at an agreed time. Each person enters the first day with their email, calendar and folders as they were.

  • Inventory mailboxes, aliases and lists before touching anything
  • Copy of the history of each mailbox, with its folders
  • Changing the MX record at an agreed time
  • Review of what was received during the change and help each person with their new account

What is a corporate email and what is it for?

A corporate email is an email with your company's domain (name@yourcompany.com) that is managed by the company and not by each person on their own. It looks professional, it is associated with your brand and, above all, it is yours: if someone leaves, the mailbox and its history stay with the company; If someone new comes in, they are registered in minutes.

A free-to-use personal account does not offer that: there is no administrator to manage registrations and cancellations, security rules cannot be required from the team and the company's history is distributed in accounts that the company does not control.

Microsoft 365 or the email that comes with the hosting

Many companies start with the email accounts that come with their website hosting. It works, but it depends on that provider and often falls short when the team grows. Microsoft 365 includes email (Exchange Online) and adds what a company ends up needing around it: shared calendars, Teams, files on OneDrive and SharePoint and a single panel to manage users and security.

This is the comparison that usually weighs the most when deciding:

Shared calendar and contactsIncluded, with meetings and roomsIt depends on the provider; often limited

Migrate your email without losing messages

Migration is the part that gives the most respect, and it is a limited task if prepared well. The mailboxes are copied to the new service, with their folders, and the change of mail destination is made at an agreed time, when there is less movement. The tools we use for IMAP mail (that of most accommodations) are explained in detail in how to migrate emails between servers with imapsync.

If you come from another Microsoft 365, from Google Workspace or from your own Exchange, the method changes, but the approach is the same: first the inventory, then the copy, then the change and finally the verification with each person.

Email security: SPF, DKIM, DMARC and double factor

With your company's domain, anyone can try to send emails that look like yours. There are three DNS records that help prevent leaks and ensure that your legitimate email reaches the inbox and not spam:

  • SPF: List which servers can send mail on behalf of your domain.
  • DKIM: Sign each message that goes out so that the recipient can verify that it has not been altered.
  • DMARC: Tells you what to do with messages that don't pass SPF or DKIM and sends you reports on what's happening with your domain.
  • Double factor (MFA) on each account: even if someone gets a password, they don't get in without the second step.

How much does it cost

There are two parts. The Microsoft 365 license is paid per user per month, and its price is set by Microsoft; In Microsoft 365 prices you can see the plans with the price date. Ours, the configuration of the domain, the migration and the support, depends on the number of mailboxes and where it is migrated from, and we give it to you in writing before starting.

What do we do

We take care of the entire journey and we do it remotely, so the location of your company does not matter:

  • Microsoft 365 setup and configuration of your domain.
  • Creation of mailboxes, aliases and distribution lists.
  • Migrate mail from wherever you are today.
  • SPF, DKIM, DMARC and double factor configuration.
  • Subsequent support by remote support: we connect with your permission, we resolve and leave you in writing what we did.

Frequently asked questions

What is the difference between a corporate email and a free one?+

The corporate uses your company's domain and it is managed by the company: registrations, cancellations, permissions and security from a panel. In a free account the control belongs to each person and the history does not belong to the company.

Can I keep my current domain and addresses?+

Yes. The domain remains yours and the addresses do not change: what is modified is which server the mail arrives at (the DNS MX record).

Are emails lost when migrating?+

The plan is designed so that: the history is copied, the change of destination is made at an agreed time and then what was received during the change is reviewed. We specify it in writing before starting.

Do you need to be in my city?+

No. We work remotely with companies from all over Spain. Our headquarters are in Seville and you have a telephone and email to speak to a person.

What happens to mail from people who leave the company?+

The mailbox is your company's: it can be kept, forwarded to someone else, or converted to a shared mailbox, depending on what you need.
