"Automating with n8n" has become a common search among small businesses that want to shed repetitive tasks. This guide puts the essentials in one place: what it is, where it runs, what to automate first, when something else fits better and how to add AI without losing control. We stick to what we know and to what the official sources say; we will not promise savings we cannot show.
What n8n is
n8n is a workflow automation platform: you connect apps and services in a visual node editor, and each workflow starts from a trigger (an email, a form, a time) and runs a series of steps. You can host it yourself or use n8n's cloud service.
Where it runs, and a note on the licence
According to n8n's official documentation, you can run it on your own infrastructure, on-premises or in a private cloud, with Docker Compose, with npm or on providers such as AWS, Azure, Google Cloud or Hetzner. Hosting it yourself has a price: you configure it (database, environment variables, security) and keep it running (monitoring, logging, updates).
On licensing, a nuance that is often left out: n8n is published under the Sustainable Use License, which is not an open-source licence in the strict sense. It lets you use and modify the software for your own internal business purposes or for personal, non-commercial use, and it limits offering it to others or selling it. Features marked "enterprise" need a separate agreement. If your use goes beyond your own company, read the licence before you decide. The documentation we consulted does not say where n8n Cloud stores data: if that matters to you, ask in writing.
What to automate first in a small business
Start with processes that already exist, repeat, and whose result you can check:
- Incoming email: sort requests and prepare a draft reply that a person reviews.
- Documents: pull data from invoices or forms and send it where it is used.
- CRM: create contacts and opportunities from forms, and alert the owner.
- Alerts and syncing: make a change in one system reach the others.
If you are not sure what to connect first, see how a custom CRM connects to your website, email and invoicing (page in Spanish).
n8n, Make, Zapier or others
There is no single winner: it depends on who will maintain it, how much control you need over data and how complex the workflows are. We go into it in n8n vs Make vs other alternatives.
n8n or a custom integration
n8n works well when the process already exists and just needs connecting: integrations, alerts and repetitive tasks. A custom integration wins when the logic becomes the heart of the business (sales, invoicing, approvals, changing rules) and should be taken out of the visual workflow. Many companies end up with a mixed architecture: n8n coordinates, and APIs and internal services handle the most sensitive parts. We explain it further, in Spanish, in cuándo una pyme debe usar n8n y cuándo necesita integración a medida.
Adding AI to the workflow, with control
An AI node can interpret text (sort an email, summarise a document, extract fields) where a fixed rule falls short. Three criteria we apply:
- AI proposes, a person approves anything that cannot be undone: sending an email, touching an invoice, deleting data.
- Only the data that is needed: pass the model the minimum, and no personal data unless it is required.
- Where data is processed: for services and customer data we use models hosted in the EU. If you pick a provider, get the region and the retention in writing.
Basic security for your own n8n
- Keep credentials in the credentials system and environment variables, not inside workflows.
- Give each connection only the permissions it needs.
- Turn on execution logs and review them when something fails.
- Back up the database and the workflows, and update on a schedule.
- Do not expose the editor to the internet without authentication.
How to start
- Pick one process, with a result you can check.
- Draw the steps by hand and decide which decisions a person makes.
- Build it with test data and a single user.
- Add error alerts and logging from day one.
- Check that it really saves time before you automate the next one.
Frequently asked questions
Is n8n free?
You can host it yourself for your business's internal use under its licence; the real cost is the server and the time of whoever maintains it. n8n's cloud service has its own plans: see its pricing page.
Do I need to be able to code?
Not for simple workflows. To connect your own systems, handle errors or treat data carefully, someone technical helps.
Can I use AI without sending my data to a third party?
Yes, with a model that runs on your own infrastructure; we compare the options in Ollama, AnythingLLM and LM Studio. If you prefer an online service, see today's online AI models compared.
What we do
At ForgeNEX we design automations connected to your CRM, email and documents: with n8n when it fits and with a custom integration when the logic is critical, with models hosted in the EU and human approval for what matters. We work remotely with companies across Spain. See how we approach it in AI for business (Spanish) or write to us to assess your case.
