Remote work, the cloud, and now artificial intelligence. The workplace has been in constant transformation for years, but what we are seeing in recent months has a different nuance: it is no longer just about where we work, but about how we work and with what tools. And for an SMB, that is not a technological anecdote: it is a business decision.
According to Computerworld, the sector has reached a point of maturity. Organizations are no longer satisfied with deploying laptops and a VPN: they want to understand the real employee experience with their equipment and improve it. Sebastián Prat, CEO of Flexxible, summarizes it by pointing out that "the culture has finally arrived" and that more and more clients are truly leveraging this type of technology. Diana Caminero, from Telefónica España, speaks of evolving from a device-centric model toward an intelligent, secure environment adapted to each organization.
From tool to intelligent environment
The key difference compared to previous waves is that now AI is not only in a specific application: it is integrated into the workflow. Caminero highlights that it allows connecting technology, data, and knowledge to make better decisions, automate tasks, and work more agilely. Prat goes a step further and distinguishes two groups of companies: those that use AI to be more productive and those that have placed it at the center of their operating model. In the latter, he says, "radical advances" are seen: processes that used to take an hour are now resolved in a minute because they only require human validation.
That nuance matters. For an SMB, the temptation is to buy a generative AI license and expect magic. The real value, according to the experts cited, appears when AI is integrated into specific business processes, not when it is used as a superficial productivity layer.
The challenge is not the tool, it is the data and governance
Here comes the uncomfortable part. Prat warns that the main challenge of the AI workplace is how we provide data to AI so that it helps in real decisions, and stresses the need to segment which data each AI and each user sees. To this he adds the management of shadow IT and the review of processes: what remains useful, what can be fully delegated, and what new processes appear.
Caminero points in the same direction: we must identify use cases that add value, integrate solutions securely with existing systems and data, establish a governance and compliance framework, and train professionals for responsible adoption. That is, it is not just a technical problem: it is organizational and human.
At ForgeNEX we see it daily in Seville SMBs. Many already have employees using personal AI assistants without IT knowing. We covered it in Personal AI agents: they are already inside your company, and the pattern repeats: the tool enters before the policy.
Impact on roles: from doing to supervising
The article also covers how roles change. Cristian Ruiz, from Robert Walters, points out that automation shifts the professional from task execution toward a supervisory role over the agent's work, the so-called human-in-the-loop. He also comments that junior profiles "are now asked to be more strategic."
For a small IT team, this has a direct reading: you need people who know how to define processes, validate results, and detect when AI makes mistakes. Knowing how to install tools is not enough.
What we recommend doing in your SMB
- Map what AI is already used in your company, even if unofficially. Without visibility there is no governance.
- Choose a specific process where AI adds measurable value (customer service, document generation, incident classification) and pilot it with clear metrics.
- Define what data each tool and each role can see. Data segmentation is the main warning from the experts cited.
- Establish a usage framework before scaling: who validates, what is recorded, what cannot be delegated.
- Train the team in supervision, not just usage. The role changes: from executing to reviewing and deciding.
Technology redefines the workplace, yes, but in an SMB the difference between taking advantage of it or suffering from it lies in the order: first the process and the data, then the tool. If you want to delve deeper into how to integrate AI without losing control, at ForgeNEX we have analyzed when local deployment pays off in Local AI for companies: when it pays off and how to start.
